General terms and conditions for events in the context of kontaktpunkt Career Day 2024
Organizer
The organizer is the University of Konstanz (hereinafter organizer).
Registration
Registration is binding and is submitted either via the corresponding registration form or email to career.service@uni-konstanz.de. The form must be filled in completely.
With the registration, the applicant accepts all parts of the terms and conditions as well as the legal, labour, trade and fire safety regulations.
Acceptance of the registration
Submitting the registration does not mean that exhibitors are entitled to participate. After the organizer has received your registration, they will send you a registration confirmation. You will receive the invoice after the registration deadline on 22 May 2024. Upon payment of the invoice, exhibitors are entitled to participate.
The organizer, however, may refuse registration requests without giving reasons. An offer that does not fit the character or level of the event may be excluded, even during the event. You cannot request that competitors be excluded.
Rent and costs
Prices are listed on the registration form and on the website. Prices can also be provided on request.
The listed prices do not include statutory VAT. Payment of the invoice is a pre-requisite for participation in the Career Day.
The organizer is entitled to withdraw from the contract if the exhibitor does not pay the outstanding invoice amount despite two reminders.
In such a case, the exhibitor must pay a cancellation fee amounting to 50% of the rental costs.
In case of cancellation on the part of the exhibitor, the following cancellation fees are charged:
Cancellation by 27 March 2024: 25% of the total cost,
Cancellation by 8 May 2024: 50 % of the total cost,
Cancellation after 8 May 2024: 100% of the total cost.
Discounts
Early Bird (-10%): until Wednesday, 27 March 2024
Super Early Bird (-20%): until Wednesday, 28 February 2024
Start up/NGO discount: -50% on price category A
To be eligible for the Start up/NGO discount, you have to meet the following criteria: Start-ups: the company was founded no more than 3 years ago at the time of registration and the annual turnover in the previous year did not exceed 2 million euros. NGOs: recognized non-profit status (e.V., foundations) and the annual turnover of the previous year did not exceed 2 million euros. Proof that the criteria are met may be required. The Start up/NGO discount is granted on price category A and cannot be combined with Super Early Bird and Early Bird discounts.
Changes / force majeure
The organizer may cancel, shorten or postpone an event for verifiable, compelling reasons.
In any case, claims for damages are excluded for both parties.
Stand set-up, design and dismantling
The exhibitor will receive a site plan and the stand number in good time, at least two weeks before the event. Any complaints must be made in writing within eight days. After the above mentioned deadline, complaints are no longer possible. The exhibitor has to set up and dismantle the stand within the announced times.
Construction and design of the stand must comply with legal requirements. The rented items (furniture, partitions) must not be nailed, painted or otherwise damaged. Rental furniture must be cleared out and handed over in the evening after the event. Missing or damaged rental goods will be charged at replacement cost. After the end of the dismantling period, the organizer will remove and store any stands or items not cleared away, for a fee and without liability for loss or damage.
Third-party use of stands
Exhibitors are not allowed to sublet, share with other companies, exchange or let other companies have all or part of their assigned stand without the permission of the organizer. In case of unauthorized subletting, other third-party use of stand space, or unauthorized offering or sale of goods or services, the organizer has the right to demand an additional 50% of the stand rent, unless the subtenant has to vacate the space occupied.
If several exhibitors have jointly rented a stand, each of them is liable as joint debtor. The contact person for the organizer is the person whose full address appears on the exhibitor’s registration form. This person is considered as negotiating partner; the organizer will communicate only with this person. All communication applies to all exhibitors of the joint stand.
Liability, insurance and security
It is strongly recommended that all participants take out liability insurance and, if necessary, insurance for the exhibition goods. Exhibitors are responsible for supervising their stands. The organizer is only liable for damages caused by their own intent or gross negligence.
Data protection
By registering, exhibitors agree to the processing of their personal data for the purposes of event administration.
Additional agreements
Any amendments to the contract and additional agreements must be made in writing to be effective.
Applicable law and place of jurisdiction
German law applies. The place of jurisdiction is Konstanz, Germany.
